MEMBERSHIP and RETURNS POLICY, TERMS and CONDITIONS OF AGILE MARTIAL ARTS

RETURN POLICY (Equipment and Martial Arts Apparel):

No refunds after 7 days, only exchanges for different sizing or in-store credit is only available if the item is returned within 30 days. Item(s) must be in unused or in good condition. We will not accept damaged or used equipment/apparel. Mouth guards are final sale, no exchanges, returns, or refunds will be made. 

TERMS OF MEMBERSHIP: Effective FEBRUARY 1st, 2024

 

Membership Details:

  • Payments occur in 4 week installments; withdrawn on Sundays.

 

Base Memberships:

  • 2 sessions per week

  • 1 session per week

  • Extra sessions & Speciality Classes may be added to the base membership at an additional cost 

 

Membership Rosters:

Some classes have limited availability, if the class is full upon enrollment, members may choose to be put on a waitlist until a roster spot opens up. Roster spots are on a first come first serve basis.

 

Membership Payment Postponement (Pushing): 

We will no longer be allowing the pushing of membership payments, make-up classes will instead be offered (no longer restricted to Saturday’s).

Make-Up Classes:

We will allow a maximum of 3 Make-up requests within the calendar year. In the event that a member is not able to attend their scheduled class due to illness or medical reasons, a make-up class will be offered. More than 3 requests needed must be verified with a doctor's note or we will not allow a make up session. You must make a request by emailing info@agilema.ca and be approved by the Agile Martial Arts admin team to schedule the make-up class. Make-up classes will be on a first come first serve basis; only a maximum of 3 members can attend a make-up class on the same day. If the class is full, we will offer an alternative day to make-up the missed class. Will will not accommodate same day make-up class requests. 

 

Make-up classes must be used within 7 days of the members' unattended class. Members cannot “Bank” or “carry over” make-up classes; if a make-up class is not completed within 7 days of the unattended class, the member understands that the unattended class is null and void. 

 

Poor Weather Conditions: 

Agile Martial Arts Inc. will remain open during poor weather conditions. If the weather becomes severe and Agile Martial Arts Inc. decides to close the facility; members will be notified by email. We will not accommodate make-up classes due to poor weather conditions while the facility remains open. If Agile Martial Arts Inc. decides to close, make-up classes will be offered. 



Membership Freeze Policy: 

A member may freeze their account a maximum of 2 times per calendar year. The minimum freeze time is 2 weeks and the maximum freeze time is 2 months. Any member’s account who remains frozen for more than 2 months will be considered canceled and that member will be subject to the current/new membership price upon return. Any member’s account who remains frozen for more than 1 month will not be eligible for a credit from their last payment upon return.

 

Requesting a Membership Freeze:

Any member who wishes to freeze their account must submit a Membership Freeze Request Form and submit it to our Agile Martial Arts Office Administrator. A start date and end date are required in order to process this request. The Membership Freeze Request Form must be submitted 7 days before the suggested start date of the freeze. 

 

The Membership Freeze Request Form can be found on our website under the FAQ section. Members may also request the link to the google form to be sent to them by emailing the Agile Martial Arts Front Desk Manager at info@agilema.ca

 

Upon return from an account freeze, the member understands that their roster spot is not guaranteed *please see Membership Rosters section for more information* 

 

Please Note: Any freeze of a member’s account due to injury or a medical illness will not be counted towards your maximum 2 freeze’s per year. However, a Dr’s Note will be required upon return

 

Increase of Membership Rates, Testing, Private Session Fees, and Other Administrative Fees Policy: 

 

We constantly try our best to maintain a sustainable rate for all of our services. Nonetheless, our membership prices are subject to change at the beginning of September, with a minimum 2 weeks notice. 

 

Please Note: We have the jurisdiction to increase specific rates (e.g., Belt Promotion Event Fees) throughout the calendar year. We will be sure to provide a minimum of 2 weeks notice prior to any rate increases. 

 

Membership Cancellation Policy: 

Memberships are no-commitment and may be canceled at any time with 7 days' notice in the form of an email. 

 

Any request for membership cancellation must be made in writing with 7 days' notice. Any late requests may be subject to a charge on the payment method on file and will be non refundable. Any credit left on the account at the time of cancellation will also be non refundable. 

 

Special Memberships (Invite Only):

 

Competition Team:

-Membership Fee is $61.99/month ( separate membership from the base membership)

-Payment cycle is on the 1st of every month 

-Competition classes cannot be made up 

-No pushing of payments or credits will be added for missed classes 

-Rates subject to change with minimum 30 day notice.

 

Agile Dragons Performance Team:

-Membership Fee is $61.99/month (separate membership from the base membership)

-Payment cycle is on the 1st of every month 

-Performance training classes cannot be made up 

-No pushing of payments or credits will be added for missed classes 

-Rates subject to change with minimum 30 day notice.

 

Termination of Membership:

We reserve the right to terminate a memberships if: 

 

  • Membership payments that have been sent to overdue payments 3 times will be classified as canceled and will be subject to any membership price increase if they choose to restart.

  • The participants who have been proven to misuse their Martial Arts training

This includes: Attacking, Fighting, or Bullying anyone inside or outside of our facility.

  • Any student or parents/guardians of a student who use any form of unacceptable behavior to the staff members or customers at Agile Martial Arts will have their membership terminated

This includes: Any Physical and/or Verbal Aggressive Attacks; Rude, Abusive, Racial, Demeaning and/or Harassing Behavior will not be tolerated.
